*JOB DESCRIPTION* *POSITION TITLE: *CONTROLLER *REPORTS TO: *GENERAL MANAGER *FLSA CLASSIFICATION: *EXEMPT *POSITION OVERVIEW * The Controller is responsible to manage and maintain all accounting functions and ensures accurate and timely financial reporting and analysis in accordance with GAAP and the Davis Stirling Act for Homeowner Associations.
Develops, maintains and ensures strong internal controls and standard operating procedures.
Manages accounting staff to include staff account and accounts payable and receivables functions.
*ESSENTIAL DUTIES AND RESPONSIBILITIES* *Financial Reporting* · Maintain trial balance and general ledger.
Direct/prepare the monthly trial balance and resulting financial statements for the Association.
· Review financial statements and account analyses, including balance sheet accounts reconciliation.
· Prepare accounting reports as necessary and appropriate for dissemination to the BOD, Finance and other committees.
· Analyze monthly financial performance related to the individual departments.
Assist with variance commentary and analysis for same.
· Monitor and maintain financial documents and their related structures to ensure accurate and efficient reporting, and compliance with GAAP and FASB related guidelines.
· Maintain fixed asset ledgers and prepare depreciation schedules for monthly entries.
*Cash Management * · Ensure adequate funding to meet obligations as they fall due.
· Minimize idle cash through netting and cash concentration.
· Ensure timely confirmation and reconciliation of receipts/disbursements, i.
e.
, bank reconciliations.
· Ensure timely disbursement of payments to supplier relationships.
· Implement and manage treasury policies and procedures.
· Ensure that separation of duties exist for all banking and cash handling related to receipts, disbursements and transferring of Company funds.
· Ensure quality standards of service providers, i.
e.
, banking relationships.
· Negotiate, analyze and manage the fee’s and margins of service providers.
*Auditing* · Evaluate the adequacy and appropriateness of internal controls and implement any necessary processes to enhance controls.
· Participate in internal/external audits and prepare relevant supporting documentation.
· Ensure outstanding A/R activity is accurate and collectible.
· Authorize all payable activity for accuracy; sample for necessary authorization and related documentation.
· Work with internal and external auditors.
*Managerial and Customer Service* · Recruitment and direct management of accounting support staff, i.
e.
, A/P, A/R, Staff Accountants.
· Mentor, coach, evaluate, and provide feedback to staff to foster professional development.
· Advise operating personnel on financial and business matters, internal control and organizational structure.
· Communicate with Members to provide information, resolve issues, and explain information such as changes in practice and existing guidelines in a manner that is customer focused and proactive.
· Review and authorize vendor credit applications and agreements, ensure compliance with payment terms.
· Review contracts with subcontractors and consultants.
· Review employee expense reports.
*REQUIREMENTS* · Candidate will possess superior cognitive skills, ability to multi-task, excellent problem-solving skills and the ability to meet deadlines.
· Candidates must be able to analyze, investigate, and resolve issues while maintaining accuracy, and integrity.
· Must possess outstanding communication, organizational, and leadership skills.
· Needs to work well in a team environment and have ability to collaborate and deliver results.
*EDUCATION AND EXPERIENCE* · Bachelor's degree in accounting or Business Administration with 3 - 5 years of work experience as a controller preferably at a Private Country Club and/or Homeowners Association.
· Preference will be given to candidates that have a CPA or CHAE.
· Strong Computer skills using Microsoft Office including Word, Excel, · Familiarity with business/financial database programming with preference given to candidates with Club Essentials or software programs used within the private club and HOA industry.
*PHYSICAL DEMANDS* · Must be able to reach, bend, stoop, stand and lift up to 40 pounds.
· Must be able to drive golf cart or other vehicle to locations on property.
· Must be able to sit for prolonged periods of time.
· Must possesses manual dexterity to operate keyboard and writing skills.
· Must possess independent mobility.
