Overview:
We are seeking a detail-oriented and organized Accounts Payable Specialist to join our team.
The ideal candidate will be responsible for accurately processing invoices, reconciling vendor statements, and maintaining meticulous records in compliance with company policies and regulatory standards.
This role requires proficiency in utilizing various payment mediums, such as manual check writing and online payments, as well as manual data entry into QuickBooks.
The Accounts Payable Specialist will manage multiple accounts simultaneously, communicate effectively with account managers regarding financial matters, and ensure timely delivery of outgoing mail.

Responsibilities:
* Process invoices accurately and efficiently, ensuring strict adherence to company policies and procedures.
* Reconcile vendor statements and promptly resolve any discrepancies to maintain positive vendor relationships.
* Maintain meticulously organized electronic and physical records for audit purposes, ensuring compliance with regulatory standards.
* Execute payments for invoices utilizing various mediums, including manual check writing, check printing, online payments, and bank bill pay.
* Perform manual data entry into QuickBooks for electronic payments, ensuring accuracy and completeness of financial records.
* Manage multiple accounts simultaneously, demonstrating adeptness in handling diverse financial transactions.
* Communicate effectively with account managers regarding low bank balances to facilitate proactive financial management.
* Prepare outgoing mail, both regular and certified, utilizing USPS, UPS, and FedEx services for timely delivery.
* Utilize Clio's timekeeping feature to accurately record billable and non-billable time entries for client-related activities.
* Enter detailed descriptions of tasks performed, encompassing phone calls, meetings, research, document drafting, and other legal or administrative work.

* Familiarity with programs such as Adobe, Outlook, and Windows, enhancing productivity and workflow management.
* Knowledge of office equipment, including printers, scanners, and copiers, ensuring smooth operational processes.
