The Estimating Assistant is responsible for assisting Estimators, setting expectations and meeting the mutually agreed needs of the client.
This role inputs data into Excel and Smartsheets, maintaining and updating spreadsheets for subcontractors and vendors, distributing plans to subcontractors and vendors, and communicating with subcontractors through email and phone follow-ups.
Duties and Responsibilities
Responsible for developing detailed take-offs and creating comprehensive scope of work documents to ensure full project details and requirements are accurately captured.
Effectively communicating with trade partners and setting Matrix quality standards.
Occasional job-walks assisting the Estimator or Project Manager, taking notes and pictures.
Basic knowledge of blueprints/drawings preferred but not necessary.
Coordination of specific vendor and subcontractor site walks to facilitate effective scope development.
Request submittals from subcontractors and vendors and facilitate to the Construction Project Manager.
Effectively assesses, clarifies, and validates client needs through use of request for information (RFI) process.
Clearly communicates the progress of bid proposals from subcontractors and vendors with the Lead Estimator and Account Manager.
Maintains regular contact with the estimating and account management teams to ensure they are knowledgeable of pre-established phases of the estimate in relation to projected budget, timelines, and scope of work.
Maintains a positive relationship between the company, vendors, subcontractors, and the client.
Builds and maintains a network of qualified vendors and subcontractors necessary to price and estimate new opportunities to ensure the company is competitive.
Prepares appropriate documentation and participates in pre-construction meetings with Sales, Construction, Accounting, and client.
Must be able to maintain multiple projects at one time and maintain a high level of organization.
Data entry in Excel and Smartsheets.
Must be proficient in Excel.
Smartsheets experience preferred but not necessary.
Other duties as assigned.
Qualifications
High school degree or equivalent is required.
Smart Sheet OS experience a plus.
Must have valid driver’s license and ability to be insured by company insurance carrier.
Knowledgeable of basic aspects within the construction industry.
Proficiency with Microsoft office products.
Typing average 30 wpm.
Demonstrated judgment and decision-making ability.
Excellent communication skills, both written and verbal.
Ability to follow instructions from supervisors and/or more tenured co-workers.
Willingness to drive to projects and perform site walks with vendors.
Proficient in Excel, Word, and Microsoft Project.
Physical and Other Requirements
Prolonged periods sitting at a desk and working on a computer, up to 50% of the time and making phone calls.
Must be able to lift 30 pounds.
While performing the duties of this job the employee may be required to walk, climb stairs, and climb ladders regularly.
Additionally, employee will have to use hands and arms to reach, handle and feel, as well as to hear and speak in the course of performing the duties of this position.

Ability to travel approximately 30 to 40% as required based on location of new opportunities.
